Before you hire any automation consultant, these are the questions worth asking. Here's how workGAI answers them, honestly.
workGAI isn't a no-code hobby build. It's built on nearly 20 years of enterprise data infrastructure experience, including Westpac, CBA, Suncorp, and government agencies, applied to small business automation. Not someone who watched a YouTube tutorial.
An automation module is a single simple business problem that is solved. For instance you might be copy-and-pasting from Excel to your CRM. A single automation module would be connecting Excel to your CRM so that you don't need to copy and paste anymore.
We can combine these single automation modules together to create complex workflows that solve most business workflow problems.
When you first sign up you choose which workflows/modules you want automated. You have 30 days to change your mind before the modules are locked in place. Any future changes to the set up can be changed with a small service charge. You can add new, extra modules at any time with prices on the website.
While the workflows don't change you are able to make an unlimited number of free changes to the configuration that you want through your membership platform. For instance, if an email is being automatically sent to the customer from your email account, you can change the contents of this at any time on the membership platform.
Or if certain documents are saved to your Google Drive, you can change the folders easily any time through the membership platform.
There is no lock-in contract on the service itself, which is month-to-month after 3 months.
With non-AI modules, there are no AI/API charges. For AI modules it is included in the monthly price.
Because we provide a done-for-you service, we monitor your processes 24/7. If an integration breaks we fix it without you needing to do anything.
If passwords or API keys expire or change, we will notify you and you will be able to update it through the membership platform.
The system captures and saves any incoming data into the workflow. If it fails for any reason, we will fix any issues and then restart the process and the automation continues. No data is lost.
We will notify you in the event of the server going down, or any maintenance, so that you are aware.
We guarantee that your automations will be installed within 3-5 days.
If a workflow goes down, it goes into triage immediately and we guarantee it's back up and running within 2 days.
You own your data and your apps completely. Xero, your inbox, your Google Drive, all of it stays fully in your control, always. What workGAI owns is the plumbing: the proprietary platform and workflow logic that connects your apps together. If you ever turn that plumbing off, you keep everything, your data, your apps, your business, exactly as it was. Nothing of yours goes away.
If you decide to leave, we'll give you a full map of how everything was connected, so you (or another provider) can rebuild the same outcomes using Zapier, Make, or another platform if you choose to.
All workflows are deterministic unless specified as AI. We have our own proprietary architecture that separates out deterministic and AI workflows so that your workflows are reliable, safe from hallucinations (zero hallucinations on deterministic workflows), and are dependable over time. This is perfect for accountants, bookkeepers and other industries where reliability is important.
If we implement the AI modules, we will give you a full run down on the risks so that you are confident that you are making the right choice in using AI.
We have our own proprietary platform that uses n8n to run the workflows. Our proprietary code has built-in error handling, data quality and reconciliation that n8n, Zapier and Make don't have.
Our proprietary platform also has auditing that you can access directly from the membership platform.
The automations are built on our proprietary platform that utilises n8n and stays with workGAI. Your data and your apps are yours completely, always. See "Can I export or take ownership of my automations" above for the full answer.
The client gets the same set of templates. However they can be connected together to create complex workflows. We are constantly expanding our library over time so that you will be able to connect the majority of your apps together.
We keep the list of workflows small to minimise costs. If you were to completely customise your workflow you would be looking at a $15k set up and ongoing expenses for maintenance.
Our consultancy solves problems for small businesses with 1-4 employees that have fixed workflows that don't change day to day.
We recommend deterministic workflows for the majority of problems. You only want to add AI in instances when you want to add creativity to your workflows. For instance, drafting emails.
Adding AI to workflows involving numbers (e.g. Xero) opens you up to hallucination risks.
We measure success by hours saved and whether the business owner is able to have their weekends and go on holidays.
Our workflows are simple. We solve one business problem that connects two apps together that you would normally be copy-and-pasting.
We increase the complexity of the workflows by connecting the workflows together to solve more complex problems. We can add in AI modules (decisions) and human in the loop when necessary.
Our set up uses deterministic automations for the majority of tasks.
Our proprietary platform has RAG, guardrails, audit logs, reconciliation and data quality. We set up our AI so that there is human approval before any action takes place. As a client, we will guide you through the risks of using AI.
You must understand that AI is not deterministic. It is a probability engine. AI will never be 100%. Even if you put in guardrails, RAG etc, it will never eliminate the fact that AI is not deterministic and will always make mistakes.
If the client wants to build capability internally they are most welcome to. Unfortunately we cannot share the internal workings of our proprietary platform because of IP.
workGAI was built by someone with nearly 20 years of experience across enterprise environments, including Westpac, CBA, Suncorp, and both local and federal government agencies.
Their experience covers data analytics, data science, AI/ML, data governance, data engineering, data remediation, data quality, data modeling, data warehouses, development and testing. They have been involved in dealing with APRA, the banking Royal Commission, and other regulatory issues in enterprise.
They build their systems with the robustness and reliability required in enterprise, but available to small businesses at an affordable price.
Yes. Consulting is available online throughout Australia, and in person in Toowoomba, QLD and the surrounding region.
The difference between choosing workGAI over custom builds is that custom builds normally take weeks to build. They cost over $15k to implement and are just not necessary for a small business with 1-4 employees. Custom builds also require ongoing maintenance to ensure they don't break.
A freelance Zapier/Make consultant builds it for you, which is cost-effective upfront. But once they've built it and moved on, the ongoing maintenance is on you: if something breaks at 9pm, you're the one troubleshooting it, or paying the freelancer again to come back and fix it.
Doing it yourself on Zapier/Make cuts out that labor cost entirely, but now you're both the builder and the maintainer. You're limited by what those platforms can do out of the box, they break more easily than people expect, and someone still has to notice when something's gone wrong and fix it.
workGAI has the benefit that it uses your own apps and takes days to install. It is cheaper than a custom build and we can build complex workflows. We monitor your automations and fix them when they break so that you're not wondering if your flows worked or not. On your membership platform you can see clearly whether your flows are working or not.
20 minutes. We'll answer anything else honestly, no hard sell.
